Description:

The Event Coordinator/Administrative Assistant is responsible for providing organizational and operational support in the development and execution of event projects.

Job Duties (including but not limited to):

  • Supports all trade shows, events and showroom spaces

o Maintains all accurate and up-to-date records and files for all event management projects

o Create agenda, schedules, and takes notes in pre planning meetings, including all involved departments and send recap for follow up

o Curate event requests, collecting all information needed to send in for approval and participation level.

o Create and manage project calendar and action plan for event deadlines (construction, product assortment, displays, graphics, etc)

o  Ensure all product, displays, graphics, props and assets are delivered by set deadlines to ensure execution through created tracking system.

o Keep track of necessary vendors contracts. (i.e., Entertainment / Talent, Caterers, Labor Agencies, Cleaning Companies, Brand Ambassadors & Agencies, etc.)

o Attend trade shows and events to ensure a smooth and on-time execution

o Send out and collect post-event recap meetings and complete post-show reports.

  • Track budgets for overall event and tradeshow spend
  • Assists in additional administrative support functions for the sales operations department as needed 

Minimum Requirements:

• Must be 18 years of age

• Must be legally authorized to work in the US

• High-school Diploma or GED

• English Proficient (reading, writing, speaking/listening, comprehension)

• Ability to travel up to 35% of time 

• Must have personal vehicle and valid drivers license to run errands as needed

Education/Experience/License Requirements:

  • Bachelor's degree in marketing, communications, or business administration is highly preferred
  • 1-2 years experience in event project management 
  • 2+ years in fast-paced office environment preferred
  • Strong project management experience
  • High volume data entry with accuracy and speed
  • Clerical experience (answering phones, booking appointments, filing, faxing, scanning, etc)
