Summary:
Sales Administration (SA) mainly provides support to the Sales team, including Sales Education, while ensuring efficient operations with other departments, namely Accounting, Customer Experience, Logistics, Forecasting & Planning, and Brand Experience. The SA team strives toward being responsive to all the aforementioned teams every day to ensure each account has a positive experience — anything that helps the sale get across the finish line.

The SA team ensures our retail customers are up and running in-store and digitally. This means we are the “knowledge hub” to activate new accounts and/or help maintain and even grow accounts.

The SA team is directly involved in a diverse range of initiatives: onboarding all retail customers and/or in-country distributors, B2B customer events, specific store installations, customers’ product assortments, pricing, and terms (including special pricing for a specific account), customers’ website audits, product reviews syndication, major retail holiday promotions, etc. All these initiatives make the SA team exceptionally Hungry, Curious and Clever.

This entry-level Sales Operations Coordinator will provide support to the Sales team while ensuring efficient operation of the overall CRM (Customer Relationship Management) & Sales Administration department. You will be responsible for completing tasks in a timely manner to ensure the team moves forward to meet key dates and deadlines.

What's expected (includes but is not limited to):

Department and customer data management, including maintaining and updating:

  • Customer order forms and price lists, ensuring accurate pricing and assortments.
  • Customer databases, contact lists and department spreadsheets in Excel and NetSuite: buyers, marketing, communication, executives, etc.

Supports customer-focused projects:

  • Monitors and responds to inquiries and requests from domestic Sales team through the designated inbox, ensuring the success of their accounts.
  • Conducts audits of customers’ websites to ensure they have the most up-to-date digital assets.
  • Collaborates with Accounting and Sales team to resolve accounts’ pricing issues.
  • Takes direction from senior Sales Admin team members to help complete major projects, such as multi-store rollouts.
  • Notifies appropriate parties of any important changes/urgent status updates to active projects so that they can communicate to the field team members and their accounts.
    • Assists with gathering any outstanding information that’s needed to complete a project.
    • Aids in the dissemination of sales reporting
    • Assists in the resolution of day-to-day inquiries from field team.
    • Assists in additional projects/assignments as requested by management.
  • Be familiar with Digital Asset Management systems, such as Brandfolder.

Qualifications/Requirements:

  • Must be 18 years of age or older.
  • HS Diploma or GED
  • Must be legally authorized to work in the United States and have IDs needed to verify.
  • Must be able to perform essential functions of the position with or without reasonable accommodation.
  • English proficient with exceptional written and verbal communication skills
  • Computer savvy; proficient with Microsoft Office, especially Excel spreadsheets and Teams, & aptitude for other programs
  • Must be able to learn and retain a working knowledge of all new and existing product lines.
  • Must be willing and able to travel up to 5% of the time.

Education/Experience/License Requirements:

  • 2- or 4-year degree in business administration, Sales, Marketing, Merchandising or closely related field is preferred
  • 1+ years of administrative support experience is preferred; will accept applicants with internship experience or additional education in related field.
  • Demonstrated organizational skills.
  • Demonstrated ability to communicate effectively verbally and in writing.
